Ellchart Business School (“Ellchart,” “we,” “our,” or “us”) is committed to safeguarding and maintaining the privacy of your personal information. In providing our services, Ellchart collects and processes personal data about its clients, customers, and users.
This Privacy Notice describes practices related to the collection and processing of personal information when individuals engage with Ellchart. For purposes of clarity, “processing” includes the collection, use, storage, transmission, disclosure, and destruction of personal information.
This Privacy Notice applies to all information collected by Ellchart and its authorized third-party service providers, including, but not limited to, our websites, applications (including our internal management system at hr.ellchart.com), events, and any platform that links to this Privacy Notice. By continuing to use our services and providing your personal information, you are accepting the terms of this Privacy Notice.
1. Information Collected
In general, Ellchart collects and processes two types of information:
- Information voluntarily provided by you in order to receive requested information and/or services.
- Information automatically collected when you navigate our online platforms.
Information You Provide
We collect personal information you provide, such as when you:
- Inquire about our services
- Register for events, webinars, workshops, or programs
- Apply for services we offer
- Create or update an account with us
- Complete a web form
- Interact or communicate with Ellchart through our websites, emails, social media pages, or other electronic means
Information Automatically Collected
When you use Ellchart’s online platforms, we may automatically collect information about the devices you use to access them (e.g., computers, tablets, mobile phones). This includes device identifiers, web browsers, IP addresses, and browsing information collected via cookies and similar technologies.
We also collect information about how you use our platforms, including search activity, viewed pages, and engagement patterns. This data may be associated with any personal information you have provided.
You can control or delete cookies through your browser settings. Disabling cookies may affect how some parts of our platforms work.
Information Collected at Events and Webinars
When you attend Ellchart events or webinars, we may collect photographs, videos, recordings, and other media for educational, marketing, and promotional purposes. Webinars may be streamed live and recorded, and the recordings may be published on our website, social media pages (including our Facebook Page and YouTube channel), and other public platforms. Where you do not wish to appear in a recording, you may keep your camera and microphone off or contact us to request removal.
2. Use of YouTube API Services
Ellchart’s internal management system uses YouTube API Services, provided by Google, to manage Ellchart’s own YouTube channel. By using these features you agree to be bound by the YouTube Terms of Service. Google’s handling of information is described in the Google Privacy Policy.
Who uses it: Only authorized Ellchart staff, who connect Ellchart’s own YouTube channel through Google’s secure sign-in (OAuth 2.0). The system does not connect to, or access, any other person’s YouTube channel.
What information we access: Through the YouTube API Services, our system accesses:
- Basic channel details of Ellchart’s own channel (channel name, channel ID, handle)
- Information about videos on Ellchart’s channel (titles, descriptions, thumbnails, publication dates, view, like and comment counts)
- Channel and video analytics (for example views, watch time, subscribers gained and traffic sources), which YouTube provides in aggregated form
- Public comments posted on Ellchart’s videos, including the commenter’s public display name and the comment text, so that staff can read and reply to them
- The playlists of Ellchart’s channel
How we use it: To upload and publish Ellchart’s webinar recordings and other educational videos to Ellchart’s YouTube channel; to add videos to playlists and set thumbnails; to read and reply to comments on our videos; and to prepare internal reports on the performance of our channel.
How we store it: Access tokens for the connected channel are stored encrypted in our system. Statistics, analytics, and comments are stored on our secured servers only as long as needed for the purposes above. YouTube data stored in our system is refreshed or deleted at least every 30 days, and all stored YouTube data is deleted within 30 days of the channel being disconnected from our system.
How we share it: We do not sell, rent, or share YouTube data with third parties. YouTube data is used internally by authorized Ellchart staff only. Summary figures (for example total views for a month) may appear in Ellchart’s internal management reports.
How to revoke access: Access granted to our system can be revoked at any time through the Google security settings page, or by disconnecting YouTube in our system. You may also contact us at admin@ellchart.com to request deletion of stored data.
3. How We Use Your Information
Ellchart processes personal data to:
- Provide and manage our services
- Improve our platforms and offerings
- Respond to your inquiries and requests
- Send newsletters, service updates, event invitations, and promotional offers (where consented)
- Publish educational content, including webinar recordings, on our website and social media channels
- Analyze platform usage and perform market research
- Comply with legal and regulatory requirements
- Prevent, detect, and address fraudulent or unauthorized activity
We will process your personal data based on your consent, to perform a contract with you, to comply with legal obligations, to protect vital interests, or for our legitimate business interests.
4. How We Share Your Information
Ellchart may share your information with:
- Authorized third-party service providers who support our operations (for example hosting, email, and video platforms such as Microsoft, Google/YouTube, and Meta/Facebook)
- Event partners, sponsors, or organizers (where relevant)
- Regulators, authorities, or law enforcement when legally required
We will never sell, rent, or trade your personal data to third parties for marketing purposes.
5. Your Responsibilities for Personal Accounts
While Ellchart implements measures to protect your data, you are encouraged to safeguard your own information by:
- Logging out after using online platforms
- Keeping your account credentials confidential
- Avoiding sharing personal information in public forums or groups
6. Retention and Security of Information
Personal data will be retained only for as long as necessary for the purposes described in this Privacy Notice, in accordance with Ellchart’s data retention policy and applicable laws, after which it is securely deleted or anonymized. YouTube data is retained as described in the section “Use of YouTube API Services” above.
We maintain administrative, technical, and physical safeguards, including encryption of access credentials and restricted staff access, to protect your data against loss, misuse, unauthorized access, disclosure, alteration, or destruction.
7. Your Rights
You have the right to:
- Access the personal data we hold about you
- Request correction, update, or deletion of your data
- Withdraw your consent at any time
- Revoke any access you granted to our system through your Google account (Google security settings page)

9. Updates to This Privacy Notice
Ellchart may update this Privacy Notice from time to time. The date at the top shows when it was last updated. We encourage you to review it periodically. If we make significant changes that expand our rights to use your personal information, we will notify you through email or prominent notices on our platforms before implementing such changes.
